
A Guide for Residents and Service Providers Welcome! To ensure the safety, security, and legal compliance of our properties, SIBA Management has a mandatory protocol for all third-party contractors, vendors, and service providers ("Vendors") hired by residents to perform work. Adherence to these procedures is essential for the protection of all residents, guests, and the building itself. Failure to comply will result in denial of access to the property. For Our Residents: Your Role & Responsibilities As a resident hiring a Vendor, you are responsible for ensuring they meet the building's requirements. Please follow these key steps to ensure a smooth process. You Are the Point of Contact: It is your sole responsibility to communicate all building requirements to your chosen Vendor. For liability reasons, management and building staff are prohibited from communicating directly with your Vendor. Submit Documents in Advance: All required insurance documents must be submitted to Management for review at least 72 business hours before the scheduled service. Plan Ahead - No Same-Day Approvals: No insurance certificate will be reviewed or approved on the same day as a scheduled visit. If a Vendor's insurance is not approved by the business day before their visit, you must reschedule. Rescheduling & Costs: The Landlord and SIBA Management are not responsible for any fees, penalties, or costs you may incur from your Vendor due to rescheduling. For Vendors: Mandatory Insurance Requirements All Vendors must provide a valid Certificate of Insurance (COI) that meets the following requirements before being granted access. Standard Requirements (All Services) This applies to all service providers, including movers, handymen, cleaning services, dog walkers, nannies, etc. 1. Commercial General Liability Insurance: Minimum Limit: $1,000,000 Per Occurrence General Aggregate: $2,000,000 2. Workers' Compensation Insurance: Coverage: Must show New York "Statutory" limits. Employer's Liability: $1M Each Accident / $1M Disease-Policy Limit / $1M Disease-Each Employee. Exemption: If you are a sole proprietor and legally exempt, you must provide an official NYS Certificate of Attestation of Exemption (Form CE-200). 3. Certificate Holder: The specific Landlord entity for the building must be named as the Certificate Holder. Examples: 50 East 78 LP 150 GREENWAY TERRACE LLC SIBA R.E. LP 4. Additional Insured & Waiver of Subrogation: SIBA MGT. INC. (and its business address) must be named as an "Additional Insured." The policy must include a " Waiver of Subrogation " in favor of SIBA MGT. INC. on both the General Liability and Workers' Compensation policies. Elevated Requirements (For Major Renovations, Construction, or High-Risk Work) For significant projects, the following increased limits and additional requirements apply: General Liability: Minimum limits increase to $2,000,000 per occurrence and $4,000,000 in aggregate. Structural Work/Excavation: For any work that could affect the building's structure, a minimum of $25,000,000 in liability coverage is required, subject to review and approval by the Landlord's designated engineer at the contractor's expense. Full Policy Review: For major work, the full insurance policy (not just the COI) must be submitted for approval by the Landlord's insurance company. Work cannot begin without this sign-off. Building Access & On-Site Conduct All Vendors must adhere to the following rules while on the property: Prior Approval is Required: All Vendors must be approved by Management before arriving. Check-In & ID: Upon every visit, Vendors must check in with the doorman or building staff and present a valid photo ID. Professional Conduct: Polite and professional behavior is expected at all times. Harassment, abusive language, or intimidation towards staff or residents will result in immediate and permanent denial of access. Building Staff: Building employees are prohibited from performing personal tasks for residents or their Vendors. Pet Policies (Dog Walkers): Pets must be leashed and under control in all common areas. Handlers are responsible for the immediate cleanup of any animal waste. Frequently Asked Questions (FAQ) Why is this insurance required for all vendors? This policy is mandatory to comply with New York Labor Law (§§ 240/241), which places strict liability on building owners and managers for injuries to any contractor's employees on-site. This requirement protects the building, our management company, and you as the resident from significant financial and legal risk. What does "Additional Insured" mean? This gives SIBA Management direct access to your Vendor's insurance policy for legal defense and liability coverage in the event we are named in a lawsuit resulting from their work. What is a "Waiver of Subrogation"? This prevents your Vendor's insurance company from suing SIBA Management to recover money they paid on a claim. It is a critical and non-negotiable requirement.

An Application will not be considered "COMPLETED" and will not be processed until all of required documents have been provided to us!
